By submitting any document, inquiry, or request for translation services to Nate Translations, you (the “Client”) acknowledge that you have read, understood, and agree to the terms set forth below. These terms govern all interactions between you and Nate Translations and are intended to define the limitations of liability, the scope of services offered, and the client’s responsibilities. Please read this disclaimer in full before engaging in service-related communications or submitting any materials.
- Nature and Scope of Services
Nate Translations offers professional English ⇄ Spanish translation services, including document translation, proofreading, and light formatting. Services are categorized into General, Business, and Medical translation, as clearly outlined on this website. Services are intended solely for linguistic conversion and cultural adaptation of written content. They are not intended to serve as legal, medical, or financial advice, nor do they substitute the expertise of professionals in those fields. Nate Translations does not provide sworn, certified, or notarized translations unless agreed upon in writing before the start of the project. Each translation is completed to the best of professional ability, with an emphasis on accuracy, clarity, and appropriate terminology. However, language is inherently nuanced, and translation outcomes may vary depending on regional vocabulary, tone, formatting, or field-specific conventions. Nate Translations will not be held liable if a third party (including reviewers, regulatory boards, or clients’ associates) disputes the translation style, terminology, or phrasing.
- Confidentiality and Document Handling
All documents submitted to Nate Translations are handled with strict confidentiality. Your content will never be disclosed, shared, or distributed to third parties under any circumstances, except as required by law or as necessary to complete the translation project (e.g., consulting with another language professional under confidentiality). Nate Translations uses encrypted email services and secure file-handling practices, but cannot be held liable for breaches occurring outside of its control, including, but not limited to, unsecured client email servers, client-side data leaks, or third-party exposure caused by the client. Clients submitting documents that contain personal, sensitive, or confidential data, especially within medical content, must ensure that all Protected Health Information (PHI), patient names, or any identifying details are removed or redacted prior to submission. Nate Translations is not responsible for HIPAA violations or breaches caused by a client submitting unredacted information.
- Accuracy & Client Responsibility
While Nate Translations aims to deliver the highest standard of linguistic quality, no translation can be guaranteed to be free of all errors. Clients are encouraged to review all completed translations and submit any revision requests within the terms agreed upon (one round of complimentary revision is included unless otherwise stated). Final approval and usage of the delivered materials are solely the client’s responsibility. This includes but is not limited to:
- Ensuring the translation complies with organizational formatting requirements.
- Verifying accuracy for internal use, marketing, or publication.
- Submitting content to the appropriate legal, medical, or professional channels for internal validation.
Under no circumstances shall Nate Translations be responsible for outcomes resulting from the client’s decision to use a translated document without proper verification or proofreading by qualified personnel on the client’s end.
- No Legal or Medical Liability
Translations of legal, medical, or official content are completed with care and linguistic diligence. However, Nate Translations does not and cannot offer legal or medical advice. The translated content is not intended to replace consultation with a licensed attorney, physician, or certified professional. Clients agree that the use of translated medical or legal documents is done at their own risk. Nate Translations will not be held liable for any misinterpretation, damages, disputes, or consequences resulting from the use or distribution of the translated materials.
- Payments, Refunds, and Service Terms
All payments for services rendered are due in full prior to the start of a project unless otherwise stated in writing. Once a project has begun, all sales are considered final and non-refundable due to the nature of the work. Nate Translations reserves the right to issue partial refunds in rare cases at its sole discretion. Clients who submit partial documents, unclear materials, or fail to provide project requirements may receive adjusted quotes or delivery delays. Rush fees apply when turnaround is requested within a timeframe shorter than the standard delivery window, and this will be reflected in the final quote.
- Multi-Document or Budget-Based Projects
For larger translation projects that involve multiple documents, departments, or a fixed budget, a custom quote and agreement must be established before work begins. The client is responsible for accurately describing the scope of the project, the file types, formatting needs, and delivery expectations. Nate Translations will assess the workload, establish a timeline, and determine how the budget aligns with the service capacity. This ensures the project can be completed with transparency and clarity on both sides. The client accepts that quotes for large projects are estimates based on volume, complexity, and category.
- Limitation of Liability
To the fullest extent permitted by applicable law, Nate Translations shall not be liable for any indirect, incidental, special, or consequential damages, including but not limited to loss of revenue, profit, reputation, or use of translated materials. In any event, total liability shall never exceed the amount paid by the client for the specific project in question.
- Acceptance of Terms by Action
By initiating contact, submitting a document, requesting a quote, or confirming payment, you acknowledge that you have read, understood, and accepted all terms outlined in this Disclaimer. You agree that you are solely responsible for how the translated materials are used and that you release Nate Translations from any and all liability related to the outcome or interpretation of the services delivered.

General Translations Disclaimer
General translation services are provided with a focus on preserving the original meaning and tone of the source material. While accuracy and clarity are prioritized, clients are responsible for reviewing the final translation to ensure it meets their expectations and intended use.
For documents that are legal, technical, or industry-specific in nature, it is recommended that the final translation be reviewed by a qualified expert or professional in the relevant field. No liability is assumed for misinterpretations, omissions, formatting inconsistencies, or consequences resulting from use of the translated material.
By requesting general translation services, the client acknowledges and agrees to these terms.
Business Translations Disclaimer
Business translations are prepared to reflect professional, accurate, and culturally adapted language for commercial, corporate, and legal contexts. While terminology is carefully selected, it is the client’s responsibility to have final translations reviewed by legal counsel or an industry expert before any official or contractual use.
Translation services provided are not a substitute for legal advice and should not be considered legally binding unless reviewed and certified by a qualified legal professional. No responsibility is assumed for contractual disputes, miscommunications, or other consequences resulting from reliance on translated business documents.
Submission of a request for business translation services constitutes acknowledgment and agreement with these terms.
Medical Translations Disclaimer
All medical documents submitted for translation must have patient identifiers removed prior to submission. This includes, but is not limited to, names, dates of birth, medical record numbers, and contact information. Documents containing Protected Health Information (PHI) are not accepted in order to comply with HIPAA regulations and ensure the confidentiality of patient data.
Although every effort is made to ensure the highest degree of accuracy, the responsibility for reviewing and approving the final translated document lies with the client. It is strongly recommended that all translated medical content be reviewed by the client’s healthcare provider, clinic, or institution before implementation. Variations in terminology, institutional language preferences, and legal interpretations may occur, and no liability is assumed for discrepancies, misinterpretations, or any consequences arising from the use of the translated content.
Submission of a medical translation request constitutes acknowledgment and acceptance of these terms.
Important Notice Regarding HIPAA and PHI Compliance
Nate Translations is committed to maintaining the highest standards of confidentiality and professionalism. However, as an independent translation provider, I do not operate as a covered entity or business associate under HIPAA. Therefore, I do not collect, store, or process Protected Health Information (PHI) as defined by HIPAA regulations. To ensure compliance and protect patient privacy:
- Clients are responsible for removing or redacting all patient identifiers (e.g., names, birth dates, addresses, medical record numbers, etc.) before submitting documents for translation.
- Any document containing PHI that is submitted without redaction may be immediately rejected and deleted for security purposes.
- Translations are conducted with strict confidentiality and delivered using secure methods, but the responsibility for ensuring HIPAA compliance lies with the client, especially in clinical or institutional settings.
- If you represent a healthcare provider or organization that requires a Business Associate Agreement (BAA), please be aware that I am not currently entering into BAAs, and my services are designed for translated materials that are already anonymized or for general medical content not containing PHI.
By submitting a request for medical translation, you acknowledge that you have reviewed this notice and agree to prepare all documents accordingly. This ensures the safe, responsible, and legally sound handling of all translated materials.
Refund Policy & Disclaimer
Due to the custom nature of translation services provided through Nate Translations, all payments are non-refundable once work has begun. Each project is priced individually based on page count, category (General, Business, or Medical), and any applicable rush or design service fees. As such, refunds are not offered for completed or in-progress work.
To ensure quality and client satisfaction, every project includes one free revision, which may be requested after delivery. This revision covers minor edits or clarification, not retranslation of the entire document or new content.
Refunds may only be considered under the following limited circumstances:
- If payment is submitted and the project is canceled by the client before any work has started, a partial refund (minus processing or consultation time) may be issued.
- If a payment is made in error (e.g., duplicate transactions), refund requests must be submitted within 24 hours of the transaction.
Rush fees, design add-ons, and urgent/same-day service charges are non-refundable under any circumstance once the service has been initiated.
By submitting a quote request and confirming payment, the client agrees to these terms and acknowledges the custom, non-returnable nature of translation services offered through Nate Translations.
